Rush cataloging is provided as a service for all library patrons (faculty, staff, students) who need an item or items immediately for study, for a class, or to put on reserve. The normal processing time for a rush request is 48 hours, excluding weekends and holidays.
Notification Request is an option available if a book is not needed urgently, but when you want to be notified when the book is available after it is cataloged. The book is cataloged and processed as any other routine item. This is not the same as a rush request. Notificaton may take longer if the item must be sent out to be bound. This service is available to anyone qualified to check books out of the UNLV Libraries (see Circulation policies and procedures for more information).
1. Once a patron has identified the book or item they want, they should go to the Reference or Circulation Desk and ask a staff member to fill out a Request for Rush Cataloging for them for each item needed. Forms should not be filled out by the patron. The forms should be filled out completely and legibly with the patron's name, address and phone number, and as much bibliographic information as possible, especially the title of the book, in case the book and the request slip get separated. If the patron works on campus or in the Library, a departmental phone number and address are acceptable.
If assistance is needed in clarifying bibliographic or order information, or to determine if or when an item is available, patrons are free to contact the Materials Ordering and Receiving staff, either by phone or in person. Request forms are also available in the MOR section.
Under no circumstances should patrons (including faculty and library staff) come into the Bibliographic and Metadata Services (BMS) or Materials Ordering and Receiving areas and remove books from the shelves. Books are arranged by receipt dates and by types of processing or cataloging needed, and if they disappear or are moved they become much more difficult to locate when they are requested. They must also be processed according to procedure so that correct bibliographic and item-record information will be entered into the PAC.
2. Completed request forms are given to the Materials Ordering and Receiving section, who will then verify the bibliographic information provided, and determine that the item has not already been cataloged. If the item is not yet available, MOR will contact the patron. MOR will check their area for the requested item, then forward it with the request slip to the BMS staff person who is responsible for cataloging and processing rush requests. If the item is not found immediately, the request will be sent to the BMS staff person in charge of rush searching, who will search for it among items being cataloged, awaiting stamping/taping, labeling, or cataloging, on staff member's trucks and desks, and in various processing areas. Requests for serial and analytic titles should be given to the Serials Cataloger, and may require extra time to search. If the item is still not found, the request will be returned to MOR, who will contact the patron. If the patron brings the item to MOR, MOR will verify that the item has been approved, property-stamped and tattle-taped, and have this done if necessary.
3. The item(s) to be rush cataloged should be given directly to the responsible BMS staff person. They are not to be left in a mailbox, or on someone's desk, and they are not to be put back in with other items from the same run date!
The Cataloger will apply barcode(s), then call up the bibliographic record(s) on OCLC, update and edit them, write the call number on each item, and download each record to INNOPAC, overlaying each on its corresponding order record. This step generates the item record(s) needed to check the item(s) out.
If an item requires original cataloging, it should be forwarded to a BMS Cataloging Librarian, who will input a new record in OCLC and continue the cataloging process as usual. Items found at this stage to be lacking property stamp and/or tattle tape should be stamped and taped by MOR before processing.
Books that are to be sent to the bindery will have notes placed in the item record to alert Circulation staff when they are returned to send them back to the Bindery unit, and to indicate what type of binding is required, as follows:
In the bibliographic record a subfield "m" is added to the 949 0 field for the item, containing the message "BINDERY--" followed by each checked instruction on the bindery decision form, separated by commas. This information will display each time the book is checked in or out for as long as the message is present in the record.
Example: The bindery decision form has the following boxes
checked:
X ECONOMY (grade C buckram)
X Save sewing
X Bind in cover
The 949 0_ field might look like this:
949 0 UNLM |p 31147004036242 |m BINDERY--Economy, save sewing, bind in cover
The item will be barcoded like any other book, as if it were going to the stacks. (Economy binds, which lose their covers during binding, will have new barcodes placed on them when they're returned from the bindery, and mylar binds can have duplicated barcodes placed over "bound in" barcodes if necessary.)
Books needing pam binding are sent to the Bindery/Mending Unit immediately for pam binding before they are cataloged. If the item is needed urgently, this step can be skipped and the item treated like a bindery book (i.e., put a "BINDERY--Pam bind" message in the item record.)
4. The items are forwarded to the Marking Section, in a special basket for Rush requests only. They are labeled, and due date slips are attached. Books that need to be sent to the bindery will have the yellow Bindery Decision Slip taped in the book under the due date slip, as an additional notice to Circulation to send them to the bindery when they are returned. The Bindery Decision Slip should remain in the book until it is returned.
A BMS Student Assistant (or staff member) will then hand carry the items to the Circulation Department and place them on the "Holds To Be Called" shelf. Circulation will notify the patron that the item is available for pickup at the Circulation Desk. Items will be held for one week from the time of notification.
Architecture Library items should be carried to Circulation and placed directly in the Architecture Library pick-up basket, located in the Circulation work room, near the receiving area. Do not give Architecture items to main library Circulation. Architecture Library staff will pick up their items and notify their patrons.
1. The Notification Request is a service available to the entire campus community.
The patron (in this case, a Library staff member or student assistant) should fill out a blue Notification Request slip, available in MOR or BMS. MOR will then verify the bibliographic information provided, and determine that the item has not already been cataloged. If the item is not yet available, MOR will contact the patron. MOR will check their area for the requested item, then forward it with the request slip to the responsible BMS staff person. If the patron has the item in hand, MOR will verify that it has been approved, property-stamped and tattle-taped, and have this done if necessary.
2. Items ready for priority cataloging should be given directly to the responsible BMS staff person. Do not leave them in a mailbox, on a person's desk, and do not put them back in with other items of the same run date.
The Cataloger will arrange for the item to be incorporated into the current workload, normally by routing it to a copy cataloger currently processing a batch of the appropriate level. Items found at this stage to be lacking property stamp and/or tattle tape should be stamped and taped before processing. The item will be cataloged in a routine manner, including following through on any bindery decisions. The pink slip should remain in the item at all times. Items requiring advanced or original cataloging should be referred to a BMS Cataloging Librarian or the Serials Cataloger as appropriate.
If the item is to be sent to the bindery, the cataloger should add a subfield "m" to the 949 0 reading "PRIORITY CATALOGING--SEND TO [PATRON'S NAME] WHEN RETURNED FROM THE BINDERY.
Example:
949 0 UNLM |p 31147004036242 |m PRIORITY--SEND TO [PATRON'S NAME] WHEN RETURNED FROM THE BINDERY
When the item is returned from the bindery, the BMS staff member who checks it in should receive a message on check-in advising them that the item is a priority item to be routed to [Patron], and should give the item directly to Marking after check-in and item record updating.
3. When the item has been labeled and processed, a BMS Student Assistant or staff member will then hand carry the item(s) to the Circulation Department. Circulation will notify the patron that the item is available for pickup at the Circulation Desk. Items will be held for one week from the time of notification.
